Description

Device to facilitate centralized control of multiple accounting entries. Remote centralized control of multiple accounts, exercised either by fiduciary bodies or, in the case of companies with multiple branches, by a central accounting department is, in most cases, made difficult by the diversity of systems and accounting instruments used in the various companies or branches to be controlled as well as, very often, by the incompetence of the personnel responsible for keeping the books in said companies or branches.

It is a proven fact that with the generally used arrangement of the book-journal comprising, for each account separately, the headings "must" and "have" opposite one another, only one person before accounting concepts already relatively developed may be able to correctly maintain even the simplest day-to-day entries of a company.

Among the general clerical staff of small and medium-sized commercial enterprises, there are very few who even have a clear notion of "must" and - "have". It follows that those of these companies which, for the sake of economy, entrust their current writings to non-specialized personnel and instruct a central body, accountant or fiduciary company of any kind to establish, on the basis of these writings , the final accounts,

are exposed to recording errors which the central body sometimes has great difficulty in detecting. The numerous deferral accounting devices and devices already known are relatively complicated to handle and in no way eliminate the difficulties arising from the general arrangement of accounting books.

The present invention relates to a device for facilitating the centralized control of multiple accounting entries, characterized in that it comprises, for each account to be controlled, two registers of accounting minutes numbered two by two in each register, one minutes of each pair being intended for the body carrying out the centralized control, each minute of the first register comprising, clearly separated, a table of chronologically classified entry receipts and, opposite, a table of these broken down receipts by nature and origin, each minute (read second register comprising, in the same way,

a chronological table of expenditure-outputs and, opposite, a table of these expenditure-outputs broken down by nature and source.

The appended drawing shows, by way of example, an embodiment of the device forming the subject of the invention. In this drawing. the fia. 1 shows two sheets of the register of "receipts-inputs" and fig. 2 two sheets of the register of, "expenditure-outputs".

The register of "receipts-entries" com takes a determined number of accounting minutes 1 and 1 ', numbered two by two and of which the first sheet 1 of each pair is detachable, while the second is fixed. Between the two minutes 1 and the is placed a sheet of carbon paper 2. The 1 minutes are clearly marked "recipes-entries" and are divided vertically by a double thick line 3 into two tables 4 and 5. The left table 4, essentially. chronological. includes a column for the designation of transactions to be recorded and a column designated "sums" for the amounts of all input or revenue transactions, without distinction as to nature or source. In addition, in the embodiment shown, the left table 4 said chronological ".

includes four columns intended for a first classification of sums into three categories: cash, goods, services, the category ", cash" is subdivided into two sections: "cash" and "checks" and the category "services" is represented here by the heading "miscellaneous". The table on the right 5, marked "control", comprises eight columns each corresponding to a special account, in which the "sums" are distributed according to the nature and origin of the transactions to which they relate. It is obvious that the number of columns in Table 5 may vary according to the accounting method, the type and the size of each enterprise.

To facilitate reference to accounting entries, the horizontal lines of the minutes are numbered.

The "expenditure-out" register also includes a determined number of accounting minutes 6 and 6 ', numbered two by two and of which the first minute 6 of each pair is detachable, while the second is fixed. Between the two minutes 6 and 6 'is placed a sheet of carbon paper 7. Minutes 6 and 6' clearly bear the words "expenditure-out" and are divided vertically by a thick double line 8 into two tables 9 and 10. The left-hand chronological table 9 comprises, like the corresponding table 4 of "receipts-inputs", a column for the designation of operations, a "sums" column and the four columns: "cais", " checks "," goods "and" miscellaneous ".

The right table 10 is labeled "control" and includes eight columns each corresponding to a special account. as for the "recipes-entries". The minutes 6 'and 6' also have their numbered horizontal lines.

To further facilitate the recording, it is advantageous to provide the accounting minutes of the receipts-inflows in a different color from those of the expenditure-outflows.

in both cases, the "control" table can be distinguished from the "chronological" table by a difference in color or shade or by a different grid, or by oblique hatching or by some other means.

The way of using the device shown and described is at. reach of anyone, even layman in accounting. The replacement of the abstract terms of "must" and "have" by the designations, income-inputs "and" expenditure-outputs ", the arrangement in two separate registers of these two classes of transactions with for each of them. opposite, the chronological classification and the breakdown by account,

allow the possibility of errors to be reduced to a minimum and simplify the work of the centralized control body: this results in an appreciable saving of specialized personnel for small and medium-sized enterprises and an increase in the output of the remote control bodies.

It goes without saying that the minutes of both registers can. be permanently connected or removable or even completely floating to allow registration n the machine.

The device shown and described can be used for centralized remote control of the purchases and sales of several companies with simultaneous control of the suppliers and customers of each company.
